Creating Jobs

Create and manage work orders for your clients

A job is the central work order in ServiceCortex. It connects a client and property to the appointments, line items, documents, and invoices that make up a piece of work. Whether you are performing a one-time repair or managing a recurring maintenance contract, jobs give you a structured way to track the full lifecycle of the work.

Creating a job

Navigate to Jobs and click New Job. You will be prompted to fill in the core details:

  1. Select a client -- choose an existing client or create a new one inline.
  2. Select a property (optional) -- pick the service address where the work will be performed. If the client has only one property, it is selected automatically.
  3. Job title -- a short description of the work, such as "Quarterly HVAC maintenance" or "Kitchen renovation phase 2."
  4. Job type -- choose between a one-off job for a single engagement or a recurring job for work that repeats on a schedule.
  5. Description -- an optional longer description with details, special instructions, or scope of work.

Click Create to save the job. You can then add line items, schedule appointments, attach documents, and assign team members.

Job statuses

Jobs move through a series of statuses as work progresses:

StatusDescription
DraftThe job has been created but is not yet ready to be worked on.
ScheduledAt least one appointment has been scheduled for this job.
In ProgressWork has begun. A team member has started a timer or marked the job as started.
CompletedAll work is finished. The job is ready to be invoiced.
CancelledThe job was called off. Cancelled jobs are kept for record-keeping.

You can update the status manually from the job detail view, or it will transition automatically when you schedule appointments or complete work.

Adding line items

Line items define what work is being done and how much it costs. From the job detail view, click Add Line Item and choose one of two options:

  • From catalog -- select a predefined service or product from your item catalog. The name, description, and unit price are filled in automatically. You can adjust the quantity.
  • Custom item -- enter a name, description, quantity, and unit price for a one-off line item that is not in your catalog.

Line items support both flat-rate and per-unit pricing. The job total updates automatically as you add or modify items.

Job numbering

Every job receives a unique, sequential job number when it is created (for example, JOB-0042). Job numbers cannot be changed after creation. They appear on invoices, proposals, and documents linked to the job, making it easy to cross-reference records.

You can customize the job number prefix in Settings > Numbering. For example, you might use "WO-" for work orders or "SVC-" for service calls.
